How to create and manage email templates for common communications.

Save time by creating templates for frequently sent emails.

Accessing Templates

  1. Go to Admin Tools β†’ Messaging β†’ Email Templates

  2. View existing templates

  3. Create or edit templates

Creating a Template

  1. Click "New Template"

  2. Enter template name

  3. Write subject line

  4. Compose body content

  5. Save template

Template Variables

Use variables that auto-fill:

  • ##{{recipient_name}} - Recipient's name

  • ##{{organization_name}} - Your HOA name

  • ##{{current_date}} - Today's date

  • ##{{property_address}} - Their address

Note that in the Email Templates page, there is a button for referencing email variables. These are dynamic fields that you can insert in any template to populate that field with the specific user or property data (Name, Address, Account Balance etc).

Variables exist in several categories:

  1. ACC Confirmation (6)

  2. New Courtesy Notice (5)

  3. New Violation (5)

  4. New User Invitation (7)

  5. Added to an Organization (7)

  6. Complete Account Setup (7)

Common Templates to Create

  • Welcome new resident

  • Meeting announcement

  • Assessment due reminder

  • Election announcement

  • Seasonal reminders (holiday decorations, etc.)

Using Templates

  1. Create new email

  2. Click "Use Template"

  3. Select template

  4. Customize as needed

  5. Configure with a "Trigger" (Automation)

  6. Send

Important NOTE: The template itself does not send unless connected to an Automation (either Event or Date-Based)

Tips

  • Review templates periodically for accuracy

  • Create templates for recurring communications

  • Use consistent branding

  • Test templates before mass sending
