With the new version of Elections, there are a few key differences:
1) Election Settings are more impactful - You build a "configuration" which is capable of more options with regards to voting such as weights, consolidating multiple properties into a single ballot through "Parcel ID" usage (example).
2) Election "Type" is no more - "Ballot Item" is the more important distinction. You setup one election that contains a variety of Ballot Items (Positions, Referendums, Approvals etc)
3) Ballot Item - You create Ballot Items now instead of "Positions" - these can be one of several options (Single Board Position,
⚡️ Elections Hub V2
Very similar in layout to v1 - Election Settings has additional fields in Property Voting Weights.
Start with a "configuration". The default may be perfect for most communities but you now have more options.
👉 Step 1: Edit the default or create a new configuration for use in an election.
👉 Step 2: Choose a pre-set configuration like the simple One vote per property or Weight by ownership %.
🔍 If you choose Custom by Property, you can configure the available votes by property.
Enter each Property value one by one or view your list and enter values their. Once you select your matching method (uses existing Vlge fields). You will see your resulting list below organized by that field.
⭐️ Example Use Case:
Community A has 500 total lots and just over 400 owners. Many owners own two or more properties. Most multi-property owners have consolidated their lots into a single Parcel ID. Since each lot gets a vote and multiple lots make up a parcel, creating ballots by parcel ID results in the appropriate weighting per ballot but simplifies the voting process so that each owner only has to vote one time.
⚡️ Custom Ballot ID
Sometimes your situation is so specific that you just need to create a unique Ballot ID and apply it to each property in your community or association so that the votes associated with those properties or parcel IDs are automatically configured into one "castable" ballot. To do this, select Custom by Property and then Ballot ID in the Match Properties drop-down.
upload your property roster and make sure to include your unique ballot ID, as well as one of the attributes that can match the specific property to the properties or units you have loaded in Vlge, such as:
street address
parcel ID
property account number
Vlge property number
Importantly, include the number of votes granted for each property. Vote count will be summed per Ballot ID, so it is important to list the vote count by property (address, parcel, account etc).
Example CSV
ballot_id | PropertyAddress | Votes |
SAR001 | 1234 Favorite Way | 1 |
SAR001 | 857 Juniper St | 1 |
SAR002 | 3876 Summerlin st | 1 |
SAR003 | 9368 Ambergrid rd | 1 |
In the above example, the ballot_id SAR001 will contain two votes but be cast as a single ballot, whereas SAR002 and SAR003 will each have one vote on their ballot. A single ballot can have two, three, ten, or more votes to be cast and counted on the single ballot. The goal here is to simplify voting for owners who have multiple lots or properties in a community and wish to cast a single ballot.
