🗳️ Elections: Receive/Log Paper Ballots

When you run an election that includes Vlge paper ballots, here is how to receive and track them

⚠️ Requirement: The below assumes you are using Vlge created paper ballots - not your own ballots. If you use your own created paper ballots, this process will not work.

When you receive a set of ballots back, either from members or owners handing them in or by mail, click the paper ballots button in the top right of the election page. For tracking purposes, you will open an intake batch and indicate the number of physical envelopes or papers received.

👉 Once you have created a batch (example: 10 in the below image), you can upload your scanned ballots.

👉 Steps in Order

  1. Create a new batch of received envelops or ballots (assumes one ballot per envelop)

  2. Upload scans - Scan the returned ballots (PDF/image) and upload them to the batch.

  3. Parse - The system reads scan pages and matches them to voters/ballot packages.

  4. Review - Staff compare parsed results to the original scans on the “Digital ballot review” screen and adjudicate each ballot.

  5. Witness / certify - A representative attests that intake was handled correctly (dual confirmation: a second person confirms before votes are reconciled into results).
