📨 Admins: Inviting Your Members to Vlge

How to invite your community to create their accounts in the portal

When you are ready to launch your community live, you will want to invite your members/users to the platform. There are a few ways to do this.

Option 1: 👉 Send a bulk invite email

Write an email on your own to your community and include a "Launch Link" that residents can click, verify their email and their Address number or zip, and then create their account. Requires that you have uploaded all resident emails into Vlge first.


⭐️ Option 2: Generate Invites in bulk.

Click the Create Invites button and choose who to send to by role or by property.

👉 Once you click "Create Invites" you will see the configuration box to add by roles (these are the roles you created when you created the people.


⭐️ Option 3: Add people 1x1

Click the Add Person button and invite specific individuals.

👉 Once you click Add person you can input the details


👉 Just need the link for a user's invite?

You can copy the link from the Invites page. Visit All People, look for Invites and click the copy icon.


User Invitations & Email Templates

User invitations are how new residents, board members, committee members, and other users gain access to your Vlge community portal. This article explains how invitation emails work, where to customize them, and which email templates are used in different situations.

Managing Invitation Email Templates

Navigate to:

Admin → Messaging → Email Templates

Template Type:

New User Invitation

Internal template key:

user_invitation

This template controls the email sent during normal administrator-created invitations.

Note: Invitation emails are not configured under Messaging → Automations.

Automations only control optional follow-up emails.

🔑 Permissions

Only users with permission to manage email templates (or full administrative access) can edit invitation templates.

👉 User Email Template Types

Your organization includes several user-related templates. Although they are similar, they are used in different situations.

Template

Used When

New User Invitation

Standard invitation email for new users

Added to Organization

Existing Vlge user joins another organization

Complete Account Setup

Alternative setup email available for customization

Account Setup Completed

Optional welcome email after setup finishes

Each template may have its own:

  • Subject

  • HTML content

  • From name

  • From email address


👉 Multiple Invitation Templates

You may create multiple New User Invitation templates.

For example:

  • Homeowner invitation

  • Renter invitation

  • Board member invitation

  • Seasonal welcome campaign

Only one template can be marked as the Default.

👉 Changing the Default Template

From Email Templates, when selecting a New User Invitation version:

  • Edit the template and enable Use as default for this template type at the bottom of the template editor

When a new default is selected:

  • The previous default is automatically cleared.

  • If the default template is later deactivated, Vlge automatically promotes another active template whenever possible.


👉 Choosing a Template When Sending Invitations

On: Community Management → All People

Certain invitation actions allow you to choose which invitation template to send.

  • If only one active invitation template exists, Vlge automatically uses it and hides the template selector.

  • If the template selector cannot load for any reason, Vlge safely falls back to your organization’s default template.


🔍 Actions That Always Use the Default Template

The following invitation methods do not allow template selection:

  • Move-In / Move-Out invitations

  • Platform user registration

  • Public Invite page “Resend” button

  • Forgot Password for users who never completed setup
