This article details how to use the controls for managing remote meetings with video conferencing enabled through Vlge Conferencing. This does not apply if you hold an in-person meeting or use your own video conferencing link.
β‘ As an admin or board member, when you click Join Vlge conferencing on the meeting detail page, you will start the meeting.
π When the meeting has been started by the Admin or Board member, you will see the common meeting tools beneath the video window.
π Note also the ability to "Pop Out Agenda" - which opens a new smaller window where the Agenda, Topics, and Meeting chat can be viewed while maintaining the video window.
π¬ Meeting Chat is below the video window and available for members to ask questions or add comments during the meeting. This is ALSO available in the Pop Out Agenda window (optional)
π₯ Configure camera when joining
When joining the meeting, users are presented with a choice of Camera On (default) or Camera Off. Non-Admin users are always muted on joining.
βοΈ Pop Out Agenda Window
Here is a view of the pop-out agenda window with tabs for Topics and Chat during the meeting. This is useful for monitoring the agenda, Topics, or Chat while keeping the video front and center.
π Note: In this example view, the yellow prompts are only visible to Board members to assist in reminding where motions & votes should be taken.
π After the meeting, back on the Meeting Manager page you will have a chance to Review and Approve the automated AI meeting minutes as well as preview the recording before approving. (You can edit the meeting minutes as well prior to approving).
π Once you review and approve each item, you can click Finalize Meeting and the minutes and recording will be saved and available at the original meeting link for members to review.
π₯ The meeting recording will be saved automatically and be made available for users on the Meeting Detail Page by link.
β‘οΈOther Meeting Features
β Hand Raising: Participants can select the Hand icon in the toolbar to display the Hand Raised feature on the top left of the video screen.
π Emoji's: Participants can activate the emoji selection and click on emoji reactions that will appear, float, and fade in seconds.
π₯ Participant Management: Admins or Moderators can Mute All participants at any time (does not mute the Admin/Moderator). You can select the participants icon and view the searchable list of participants. For non-admins you can mute them individually or turn off their cameras if they happen to be showing something inappropriate.
π Leave: If a moderator leaves the meeting, other moderators or admins can still share or control the meeting. The last moderator will need to click End Meeting for All, or the meeting will end when the last participant exits.
