Setup a meeting using Meeting Manager

Admin Tools ➡ Meeting Manager

Click the "Schedule Meeting" button in the upper right corner.

With Meeting Manager - to set up, invite, and run a meeting, there are six phases, beginning with Plan.

👉 Plan: Setup the Meeting basics - When, Where, How, Agenda, Add Documents, collect RSVP's and/or Proxy's (decide yes/no)

👉 Review: Confirm your configuration for the meeting

👉 Engage: Choose your attendee list, create a Guest Invite Link (optional), Send invites and/or Publish Meeting

⚡️ Engage - Set Attendees, send Invites

You'll see an engage checklist at the top of the engage step. This is where you decide who should attend the meeting, set up a guest invite link if necessary, and send your invitations.

With invites, you can select all members and then un-check specific members if needed. You can designate only the board, or you can utilize groups or specific roles. Lastly, you can build a custom list by choosing only specific people in the community.


⚡️ Publishing the Meeting

The last step in the Engage tab is to publish the meeting, either by clicking the Publish Meeting button or by sending your meeting notice via email or postal mail. Use the rich text editor to insert meeting variables, such as names, dates, and times, to draft your message. You can send the test email to yourself with the button in the bottom right.

If you only publish the meeting, it will be visible on the community calendar to those who have been designated as attendees, but it will not send a message. You can always revisit the Engage tab to send a meeting notice if you don't send one at the time you publish the meeting.

When you send your meeting notice, the meeting is published automatically, so you don't need to also click the Publish Meeting button. The meeting notice template can be managed in Admin Tools → Messaging in the Email Templates feature, or you can edit the message here and check the box to Save as the community default for future meeting notices.

  • "Send outside Meeting Manager" button indicates that the message has been handled outside the meeting manager flow.

  • "Send Test" will email a test to yourself.

  • "Send Notice" - Sends the live email to your invitees.
