💰 Reclassify Income & Expenses in the General Ledger

Sometimes you may wish to reclassify a recorded income or expense line

Sometimes a charge or a bill is posted to the right amount and date, but the wrong account. Reclassification lets you move that activity to the correct account without voiding the original work.

Reclassification does not change what happened (who was billed, who was paid, or how much). It only changes which account the books use so reports and the chart of accounts stay accurate.

There are two common cases:

  • Income (and the matching amounts owners owe): assessments, fines, fees, and similar owner charges

  • Expenses: vendor bills and reimbursements


Why you might reclassify

Income examples

  • Monthly assessments were posted to regular assessment income, but some of that amount should have gone to reserve contributions.

  • A fine was posted as a regular assessment.

  • Late fees or interest were coded to the wrong income account.

Expense examples

  • Fence work was coded to General Maintenance instead of Fences.

  • A board reimbursement for roof work landed in the general grounds account.

  • A landscaping invoice was categorized as common area instead of grounds.

In every case, the money is real. The category is what you are correcting.


Before you start

  • You need permission to manage financials.

  • Reclassification must be turned on for your community. If you do not see checkboxes on an account register or a Correct account link on a journal entry, ask Vlge Support to enable it.

  • You can only move activity to another account of the same type (income to income, expense to expense, "amounts owed" to another "amounts-owed" account).

  • Lines that have already been reconciled to the bank cannot be moved. Those show as locked.


1. Reclassify income (owner charges)

Use this when assessments, fines, fees, or similar owner charges hit the wrong income account - or the wrong “amounts owners owe” account. The usual place to do this is the account register, because you can select many lines at once (for example, a whole billing run).

👉 From the account register (best for many lines)

  1. Go to Financial Dashboard → Chart of Accounts.

  2. Open the account register that currently shows the activity (for example, Regular & Insurance Assessments) - Register is the "book" icon to the right of status.

  3. You will see the account register - every posted line in that account.

  4. Check the boxes next to the lines you want to move. Use the checkbox in the header to select every eligible line on the page. (See highlighted example)

  5. Click Reclassify

  6. Choose the correct account of the same type

  7. Confirm

⭐️ When checkboxes are selected, the Reclassify option appears.

Those lines move immediately. The original date, amount, and owner charge stay the same. You can also start from the amounts owners owe account (for example, Regular & Insurance Assessments Receivable) if that side is what you need to correct. Choose Asset account (A/R) when you reclassify from the general ledger list (see below).


👉 From a single journal entry

  1. Go to Financials → General Ledger, or click the journal entry number on the register.

  2. On the expense or income line, click Correct account.

  3. Choose the replacement account.

  4. Click Correct account.


👉 From the general ledger list (several entries at once)

  1. Go to Financials → General Ledger.

  2. Check the boxes next to the owner-charge entries.

  3. Click Reclassify GL Account.

  4. Choose whether you are moving the Revenue account (income) or the Asset account (A/R) (amounts owners owe).

  5. Pick the destination account and confirm.

If a row has no checkbox, it is not an owner charge (for example, a bank transaction or a bill payment). Use the expense steps below for vendor bills.


2. Reclassify Expenses (Vendor Bills)

Use this when a bill or reimbursement hit the wrong expense account.

You can fix this in two places. They stay in sync:

  • Change the category on the bill, and the ledger follows.

  • Change the expense line on the journal entry (or on the account register), and the bill’s category follows.

⚠️ You do not need to do both.

Option A: Change the category on the bill (often the simplest)

Use this when you are looking at one invoice or reimbursement.

  1. Go to Financials → Pay Bills.

  2. Open the bill.

  3. In Category, click Edit.

  4. Choose the correct expense account.

  5. Click Save.

The bill’s category updates, and the posted expense in the ledger moves to that same account. Accounts payable is not changed.

Option B: Reclassify from the account register or journal entry

Use this when you are reviewing an expense account (for example, Buildings & Grounds) and notice several lines in the wrong place.

From the register

  1. Go to Financials → Chart of Accounts.

  2. Open the expense account (for example, Buildings & Grounds). Turn on Include sub-accounts if you also want child accounts such as Fences or Roofs & Gutters.

  3. Check the boxes next to the bill lines you want to move. Only bill approved expense lines get a checkbox — not the payable side, and not payment or void entries.

  4. Click Reclassify.

  5. Choose the correct expense account.

  6. Confirm.

The ledger moves, and each linked bill’s category is updated to match.

From a single journal entry

  1. Open the journal entry (from the register or Financials → General Ledger).

  2. On the expense line, click Correct account. You will not see this on the accounts-payable line — that stays on payables on purpose.

  3. Choose the replacement expense account.

  4. Confirm. The article on screen notes that the linked bill’s category will be updated to match.

From the general ledger list

  1. Go to Financials → General Ledger.

  2. Select the bill-approved entries.

  3. Click Reclassify GL Account.

  4. Choose Expense account, then the destination account.

  5. Confirm. Linked bills update with the ledger.


Which method should I use?

Situation

Where to do it

A whole billing run went to the wrong income account

Chart of Accounts → that income account → select lines → Reclassify

One owner charge is in the wrong income or amounts-owed account

Open the journal entry → Correct account

One vendor bill or reimbursement is in the wrong expense account

Open the bill → Category → Edit

You are reviewing an expense account and several bills are miscoded

That account’s register → select lines → Reclassify (bills update automatically)


⚠️ What you cannot reclassify this way

  • Bank / cash lines that are already reconciled - they are locked until that is addressed.

  • Bill payments (the side that reduces payables and cash) - reclassify the expense from when the bill was approved, not the payment.

  • Voided or reversed bill entries as a standalone fix - if a bill was reversed, move the original approval expense; the system keeps the reversal aligned so the books still wash.

  • Across types - you cannot turn an expense into income, or income into cash, with this tool.

If a register has a checkbox column but every row is blank, those lines are not owner charges or bill expenses (for example, only payments). Open the related bill or use a different account.


After you reclassify

  • The account register and financial reports (income statement, budget vs. actual) use the new account.

  • For expenses, open the bill and confirm Category matches what you chose.

  • Amounts, dates, vendors, and owners do not change.

If you reclassified in error, repeat the same steps and move the lines back — or to the correct account.
