👥 Admin Guide: Managing Roles

You can assign permissions to Roles in the Admin

⚡️Major Update: 6/11/2026

What Changed and What did not?

  • All users and their existing permissions remained the same

  • No user was granted more or less permissions

  • Permission "granularity" and naming was improved so that as an admin you can grant or remove specific permissions for Organization level (changing/editing community level settings) and at the Person & Property level ("My Property" and Person info)

Example:

Old: A Resident could "Manage My Property"

New: A resident's permission options are View Balance / View Statements / View Invoices /View Payment History / Pay Charge / Pay Assessments / Responsible for Assessments / Receive Invoices... and 10 additional permissions

Role defaults can be used, or as before you can adjust them for your organization


Vlge gives you complete control over users, roles, and who can access key functions in your app. Several roles are pre-set as standard, but you can add additional roles as needed and specify permissions here.

NOTE: You do not have to edit or adjust these and can simply use the roles provided. Vlge gives you complete flexibility though in the event you need more granular permissions in your community. User roles and permissions can be complex. If you need help - ask! This is system attempts to balance the complexity with flexibility in your role setup.

Where do I find it?

Navigate to the General Settings and find "Roles & Permissions" in the Core Content section.

👉 Check the boxes that apply to the permissions you would like to grant.

👉 You can use the "Add Role Mapping" button to add a role and customize access levels specific to your community.


Mapping Unit Relationships with Roles

In the Vlge platform, you manage two distinct but important concepts

👉 Unit Relationship: Who is this person in relationship to the property or address?

Examples include "Owner-Occupant" or "Renter"

👉 Organizational Roles & Permissions: What can this person do as far as access in Vlge?

⚡️ These two are mapped by default in the settings below your roles, but you can change them.

On the left, you will see the Unit Relationships you set when you add a person to a Unit/Address/Property. On the right is the default Role/Permission they receive.

Note: As of June 2026 you can edit the "Display Name" of each Unit Relationship. The underlying functionality does not change, but you can now edit the name for your organization.


⭐️ Unit Relationships: What does it do?

1. Property graph / “who belongs to which unit”

  • People page “Associated Units”

  • Unit detail owner/occupant lists

  • Move-in / move-out history

  • Imports and signup flows that attach a user to an address

2. Property-scoped product behavior

  • Default property - owner-occupant home sorts ahead of absentee ownership in the property switcher and My Portfolio

  • My Portfolio vs My Property - owner-only surfaces exclude pure occupants (renters are not financially responsible for the unit)

  • Communications routing - who receives legal notices, community announcements, emergency alerts, financial notices (often split: owner gets legal/billing mail; occupant gets on-site comms)

  • Elections / voting - tied to ownership interest, not “has resident role”

  • Assessments / charge splitting - liability follows ownership entity/member, not occupancy label

  • ACC, violations, maintenance - owners submit ACC for their unit; occupants often receive/cure violations at the unit

  • Reservations (fractional/resort contexts) - booking rights tied to ownership interest at a specific asset
