📘 Board Binder: Saving Key SOPs and Info

For consistency and transitions between boards, use Board Binder to store important information.

Whether it's:

  • New member onboarding process

  • Directions to where documents are stored

  • How you run board huddles and board meetings

  • Key processes around the annual budget

  • Key facts that you need to keep at hand about your CCRs or bylaws

... the Board Binder feature gives you a place to categorize and easily search all of these.

👉 Where is it?

Visit Admin Tools ➡ Board Binder and open it from there.

👉 Add a New Item

⚡️ Click "+New Item"

When adding a new item, you have quite a few options for details.

You can associate your specific additions with one or more vendors, as well as one or more key documents that are already found in the platform

👉 Categories

Vlge includes a default set of common categories. However, you can delete, hide, or edit any of the defaults, as well as create new categories from the settings button in the top right. You can drag and drop to reorder these categories so that they appear in a different order in the categorization dropdown

👉 Reviews & Reminders

You can set up automatic review intervals as well as alerts as the review comes near due, to remind the board to keep these updated as needed.


👉 Other Fields

Owner Position - this refers to the board position best suited to own this particular piece of knowledge and someone who can update it over time. Typical entries are:

  • Treasurer

  • Secretary

  • Board (all)

  • President

  • Property Manager etc.

Frequency is when the work happens. Monthly / quarterly / annually / as needed / none. It is for the board’s calendar of work (“insurance renews every April,” “pool inspection is annual”), not for whether the write-up is still accurate.

Review interval is how often someone should re-read this page. It is months until the item is due for a freshness check. Blank uses the org default (usually 12). 0 means never - for historical references that do not go stale. Last review is set by Mark reviewed, or by a substantive edit. That clock drives Current / Review due / Overdue.
