If your community offers access to an amenity on a paid pass basis outside of a managed event, you can create those offerings in the community offerings feature in admin tools from the left navigation.
🔍 NOTE: This feature is for use outside of a community-specific "event." The Events feature allows you to set up an event and charge tickets for entry, such as a movie night at the pool, bouncy castle at the park, etc. This feature is geared towards passes or sign rentals that are not event-specific.
👉 Example: Sell Pool Passes for the 2026 Season
In the above example, the community has created a pool pass priced at $150 from June 1st to September 1st, which is active and is showing zero sales. To create a new offering, click the new offering button in the upper right.
This feature also offers the ability to draft custom terms or agreements to be accepted upon purchase, such as a release form or a terms of sale. You can also review existing customers and sales using the buttons along the top.
⚡️ Draft your Offer Specific "Terms" (Waiver etc)
As you think about creating your offering, you will want to understand what sort of agreement, terms, waiver, or other disclaimer that you wish to attach to the sale of the item. Always check with your attorney for the best advice on these items. You can create these terms in the agreements page accessible via the button at the top.
Two example agreements are included for convenience, both the liability waiver and the rental agreement, but each should be reviewed by your own association attorney to verify their use.
You'll notice the existing terms offer the ability to update the agreement text. This allows you to draft and publish new versions, leaving existing customers under their original agreed versions, which were snapshotted and saved at the time of purchase.
👉 Create a New Offering
Step 1: What are you selling
For amenity passes, you may wish to require a name and email for each pass, or if being used as a guest pass, you may wish to associate it with a property address as a requirement.
Step 2: Price and Term
As a second step, determine your price, whether it's one time or recurring, the model, whether fixed window, rolling duration, or a custom selected range.
Step 3: Identify Terms & Accounting for the Revenue
Select the agreement that best aligns with your offering, or go back and create a new one to use with this offering.
We've included a default chart of accounts: 4900 Non-Member Income, but you can align the sales revenue from this with whatever you choose. In order for HOAs to maintain their status with the IRS, in most cases they are required to stay below a certain threshold of non-member revenue relative to the overall revenue. Check with your accountant or attorney for more details.
Step 4: Fulfillment
In the final step, you'll determine how you go about fulfilling the purchase. For example, the user may simply bring a printout with their serial number, credential label, or QR code on a piece of paper, which you can trade out for a wristband or other method of entry. If using a wristband key tag or other physical item that is differentiated by color, you can select that here to associate that item with this specific offering.
👉 Customers Page: See Who Purchased
Once you have purchases, you will be able to see the name and email of those that purchased on the customer tab. This is a list of purchasers - the Sales page will show each credential and the person assigned. So if one customer buys 6 pool passes and assigns 6 names and emails - they will each appear on the Sales Page not the Customers page.
