Reservations: Book a Community Amenity

How residents book amenity time slots, and how admins set up Types, Schedules, and Amenities.

Residents book time slots for community amenities (courts, clubhouse, pool time, and similar) from Reservations in Community Home. This is not Events, Community Offerings (pool passes), or fractional unit-stay calendars.

Events: Events overview. Paid passes: Community Offerings. Fractional overnight stays: Unit Stay Calendar.

What you need

  • Vlge Pro, with Amenity Management and Reservations turned on under General Settings → Features. Reservations cannot be on unless Amenity Management is on.

  • At least one active amenity with a Type (and usually a Schedule for open hours).

Book a slot (residents)

  1. Open Reservations (page title Reserve a Community Amenity).

  2. Pick an amenity and click Reserve. Booking stays on the same page — there is no separate checkout wizard.

  3. Select a date (today through the advance-booking window your Type allows).

  4. Pick a duration, then an available time. Times are shown in the community’s timezone.

  5. Fill any required details (for example Number of players or Bringing external guests).

  6. Read the waiver or instructions if shown, then Confirm reservation (or Review rules & confirm if a signature is required).

Success says Reservation Confirmed! or Reservation Submitted! if an admin must approve, or if a fee/deposit still needs payment. Fees and deposits go through Stripe checkout when they are configured.

Your bookings

My Reservations lists upcoming and past bookings. Cancel an upcoming reservation that is not in a final status; you can add an optional reason. If a refundable deposit was collected, an administrator still has to process the refund — canceling does not automatically refund it.

Admin setup

Admins open Amenity Management (Admin Tools, or Community Management). Suggested order:

  1. Schedules — reusable weekly hours and holiday hours. Amenities can also be “always available” with no schedule.

  2. Types — the kind of amenity plus rules: approval, waiver, external guests, guest count, booking limits (30-day, concurrent, back-to-back, how far ahead), slot lengths, documents, and optional rental fee / refundable deposit.

  3. Amenities — name, Type, Schedule, location, photos, and Active — residents can see and book this amenity.

  4. Reservations — approve pending bookings, cancel, and review the list or calendar.

Who can book is usually “everyone who can open Reservations.” Role-based eligibility and blackout dates, if you use them, are on the older asset editor under Admin Tools → Reservations, not on the Amenity Management forms.

What this does not do

  • Residents cannot join a waitlist from the booking screen today, even if a Type allows waitlists.

  • There is no separate owner-versus-renter booking rule on amenities. Eligibility is optional and role-based.

  • Canceling a time-slot booking does not apply fractional stay cancellation-percentage policies.
